How RatesAngel uses personal information.

1. Who is responsible for your information?

Maivero Limited is the data controller for personal information collected through RatesAngel. Registered office: 6 Manor Road, Cheadle, United Kingdom, SK8 7DQ. Contact: hello@ratesangel.co.uk.

2. Information we collect

Depending on how you use RatesAngel, this may include your name, business or trading name, email address, optional telephone number, property address and postcode, rateable value, business activity, occupation information, business rates bill information you choose to provide, service choices, referral or referral attribution, correspondence, feedback and technical security logs.

Secure document upload is not currently enabled through the public website. Do not send identity documents, payment card details or sensitive documents through ordinary website forms. If RatesAngel needs a document for a service, we will explain the appropriate route.

3. Where information comes from

Most information comes directly from you. We may also use public information from official sources such as the Valuation Office Agency, GOV.UK, local authorities and Companies House where relevant to a service you request. If we add information from a public source to your record, we will use it only for a stated RatesAngel purpose.

4. Why we use information and our lawful bases

We use information to provide the Health Check, save a requested result, review Watch applications, operate monitoring where separately activated, respond to enquiries, deliver accepted services, maintain security and records, improve the service, prevent duplicate or fraudulent activity and meet legal obligations.

Depending on the activity, our lawful basis is performance of a contract or steps taken at your request before entering a contract, our legitimate interests in operating and improving a secure business service, compliance with legal obligations, or consent. We rely on consent for optional electronic marketing where consent is required or where we choose to use consent as the basis. You can withdraw marketing consent at any time.

5. Service messages and marketing

Any requested Health Check follow-up, Watch confirmation or alert after activation, document request or service update is a service communication. We do not currently promise an automatic emailed copy of the on-screen Snapshot. Optional marketing is kept separate. Sole traders and some partnerships receive the additional protections that apply to individual subscribers under PECR. Every marketing email will identify RatesAngel and provide a simple opt-out.

6. Automated assessment

The Health Check uses rules to calculate a headline charge and categorise an initial finding from the information supplied. It does not automatically submit an application, appoint an agent or produce a decision with legal or similarly significant effect. You can correct the facts used and request human review of a service matter.

7. Who we share information with

We use carefully selected service providers to host and operate RatesAngel, process website forms, provide communications, security and other business systems. The current website is hosted on Netlify. We may also share information with a council, the VOA, a professional adviser or another service provider where you explicitly instruct us to perform a service that requires it, or where disclosure is required by law.

We do not sell personal information.

8. International processing

Some technology providers may process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we require an applicable adequacy decision or appropriate contractual or other safeguards. You can ask us for more information about relevant safeguards.

9. How long we keep information

Health Check and prospect records are normally retained for up to 24 months after the last meaningful interaction unless there is a continuing service, legal reason or request requiring longer retention. Service, contractual and accounting records may be retained for up to 6 years after the relationship ends where reasonably required. Marketing preferences and suppression records are retained for as long as needed to respect your choice. We review retention as the service develops.

10. Your rights

Depending on the circumstances, you may have rights to access, rectify or erase personal data, restrict processing, object to processing and receive portable data. Where processing is based on consent, you can withdraw it. The right to object to direct marketing applies at any time.

11. Security

We use access controls, secure hosting and proportionate organisational and technical measures. No internet service can promise absolute security. Sensitive document handling will use a separate private upload route before that feature is enabled.

12. Changes to this notice

We may update this notice as RatesAngel develops. Material changes will be reflected by a new “last updated” date and, where appropriate, brought to existing service users’ attention.
